A few other commands will greatly improve the quality of your work and, finally, there are many other commands that will save you time in very specific situations. This handout covers the first and second groups of commands for Microsoft Works. Nothing replaces time spent on a computer as the best way to learn, Always read the screens and pay careful attention to the results of your commands. In Microsoft Works, pay special attention to the bottom of the screen. Menus can be selected by either pressing ALT then the appropriate letter or by pressing the left mouse button while pointing to the menu heading. Select menu choices either by typing the appropriate letter; using arrows to highlight the choice then pressing enter; or by pointing and left-clicking the mouse. In this handout, Items in [ ] are control, ( ) shift, { } ALT. This means that if you see a letter in one of those brackets you are to hold down the appropriate key then press the letter. Starting Works Usually this will simply be a matter of turning the computer on and selecting from a menu. At UVI, log in, select the Applications menu, then the Word Processors Menu and finally the Works Menu. In other places, it may be best to have someone who knows what to do write down the exact keystrokes that you should use. Try them before the person leaves! Editing Use the arrow keys or the mouse to move your cursor to the desired area. Erase characters by moving to the right of them and pressing the “backspace” key (found above the enter key) . Save Select the file menu and choose save. Save As allows you to save the file with a different name and/or to a different location. Quit Select Exit from the File menu. Retrieve Select Open from the File menu. Print Always save your document before printing; Preview by selecting preview from the print menu. If the preview looks good, select print from the print menu. Selecting (Highlighting) Text There are three ways to select text: (arrows) shift-arrows Point, left mouse click and drag. For a word, point and double click. Bold There are three ways to make a selection bold Press [B], type the word, press [space] Highlight then press [B]. Highlight then select Bold from the Format menu. Underline There are three ways to underline a selection: Press [U], type the word, press [space]. Highlight the word(s) then press [U]. Highlight then select Underline from the Format menu. Line Justification There are four kinds of line justification. Apply these formats by either pressing the appropriate key while on the line (or paragraph) or selecting from the Format menu. Left A straight Left margin (ragged right) Right A straight Right margin (ragged left) Full Both margins straight Center Each line Centered Spell Check Select the Spell selection from the Options menu.. Thesaurus Select the Thesaurus selection from the Options menu. Tables There are several ways to create a table. You can copy a spreadsheet or set up tabs. Copying a spreadsheet is preferred in Works but you have to know how to create a spreadsheet first. If you don’t know how to create a spreadsheet, use tabs. The sequence you should follow is: Design your table and decide about where the columns should go. Create the table. Creating a table with Tabs Decide on the number of and location of tabs. Rember that, after subtracting your margins, you have about six inches of line length. On the line you wish to start with, select the Tabs command from the Format menu. Create new tabs (be sure to select the appropriate type of tab). You can move around in the tabs window by using the mouse or by pressing the appropriate ALT key. There are four types of tabs: Center Centers items under the tab Right Aligns items to the right of the tab Left Aligns items to the left of the tab Decimal Aligns numbers. As you type in your table data, press a tab to move along the line. If your table does not look right, you can go back and edit your tab types and tab locations. Creating a table with the Spreadsheet Create your word processing document and place your cursor where you want the table to appear. Switch to a Spreadsheet by using either the Window menu (if you have already created the spreadsheet) or by creating a new spreadsheet by selecting New from the File menu. Layout your table in the Spreadsheet section (to line things up later it is often a good idea to leave the first column empty). Highlight the table and the empty column by using (arrows). Select Copy from the Edit menu. Switch to the Word Processing section by using the Windows menu. Press enter to insert the table at your cursor location. Solutions The commands won’t work! Most likely this means that you are in the middle of a previous command. Check the bottom of the screen and press ESC. Sometimes this occurs when you have not hilited the appropriate area. Moving around in Command Windows. Most command Windows will have a number of hilighted letters (i.e. Save s). You can move around within those windows by pressing ALT and the hilited letter.
