Your current cell address (or range) is in the top left corner of your screen. A range is a group of cells defined by a beginning and ending cell separated by a colon. Ranges can be a single cell I.E. C3; vertical I.E. A1:A10; horizontal I.E. A3:E3; or rectangular A2:C4 (as shown). Select a range by clicking and dragging or holding down the shift key and using the arrows. note that, when a range is selected, the entire range is boxed but the first cell is not highlighted. There are two types of cell entries: Values and Labels. Value Cells are either numbers or formulas. The first character of a value cell must be a =,+, -, or number. Column B has values. No text is allowed in value cells. Any cell that contains a displayed letter is a label. Labels are generally left formatted. To lock rows, place a $ in front of the row number. I.E. C$4. Copying across columns changes column letters. To lock columns, place a $ in front of the column letter. I.E. $C4. Both the column and row can be locked, I.E. $C$4. Edit the contents a selected cell by using the Cell Editing Bar at the top of the screen. Format selected Value Cells ranges by selecting Number from the Format menu. Most used formats are Comma, Currency and Percent. Be sure to specify the number of decimal places. Erase data by selecting it and pressing delete. You can change data by simply typing over it. Do not use spacebar enter to erase! Change column width or row height by selecting the placing the mouse pointer between the columns/rows headings in the gray area to the side. When your cursor changes to Adjust, click and drag. Move a selected range by placing your mouse pointer on the edge of the range, then clicking and dragging when the cursor reads Drag. Works is “smart” enough to keep your formulas in the new area. Sometimes you will not like the default formula, see absolute vs. relative addresses in Other Concepts Insert a row or column by first clicking on the Row or Column heading below or to the right of the area you wish to insert to, then selecting Row/Column from the Insert Menu. Much repetitive work is avoided by learning to use the Fill commands: Fill Down, Fill Right and Fill Series from the Edit menu. Select the range you wish to work with. For Fill Right and Fill Down the first cell must not be empty as its contents will be copied. To graph a group of values, simply highlight their range and press the Graph Wizard button. Be sure to include descriptive information such as the column headings in the area that you highlight. You may need to rearrange your data. be sure that you have arranged you X and Y axis appropriately. The X axis will have labels, the Y axis have values. You will probably need to “fine tune your graph” using the Edit and Format menus. Functions Math operation keys are on the numeric keypad: Divide Subtract Multiply The easiest way to add a function is to insert it from the Insert Menu.
