Value Cells are either numbers or formulas. The first character of a value cell must be a =,+, -, or number. No text is allowed in value cells. A range is a group of cells defined by a beginning and ending cell separated by two dots (..). Ranges can be a single cell I.E. C3; vertical I.E. A1..A10; horizontal I.E. Format Value Cells by selecting the range and selecting Number from the Format menu. Most used formats are Comma, Currency and Percent. Be sure to specify the number of decimal places. Erase data by selecting it and pressing delete. You can change data by simply typing over it. Do not use spacebar enter to erase! Change column width and row height by selecting the line between the columns/rows in the grey area to the side. When your cursor changes to Adjust, click and drag. Move data among ranges by selecting the range, moving to the edge of the range, then clicling and dragging when the cursor reads Drag. Works is “smart” enough to keep your formulas in the new area. Sometimes you will not like the default formula, see absolute vs.. relative addresses in Other Concepts Insert a row or column by selecting the entire row or column below or to the right of the are you wish to insert. Point to the right of (columns) or below (rows) your insert destination. Choose /Worksheet Insert Row (or Column) Functions Math operation keys are on the numeric keypad: Divide Subtract Multiply Add a range @SUM(Range) Average of a range @AVG(Range) Future Value @FV(payment, Interest*, Term*) Amount of a payment @PMT(principal, Interest*, Term*) Rate of interest. @RATE(FutureValue, PresentValue, Term*) *Interest: Interest per payment (Yearly interest divided by 12) *Term: Number of Payments (Number of years times 12) Lotus Graphs Important Concepts: All graphs need to have an X axis which is represented by a range of cells with labels. All graphs must have one or more Y axis that are represented by value ranges represented by the letters A - F. There must always be the same number of items in your label and value range(s). Usually your data range(s) is oriented (horizontal or vertical) the same as the label range. Most of the following commands assume that you are in the /Graphing menu. If you are having problems, use the /Graph Reset All command and try again. Don’t use the Save command found under the /Graph menus; do use the one found under /File menus. To get to the graphing menu Choose /Graph. To choose the type of graph In the graphing menu choose, Type. Select your graph type. To view your current graph In the graphing menu choose, View. To define the X-Axis labels In the graphing menu choose, X. Highlight or type in the X-Axis range. To define the Y-Axis values In the graphing menu choose, A - F Highlight or type in the Y-Axis range. To give a graph a legend In the graphing menu choose, Options Legend Select the Y axis range you want to label. To give a graph title(s) In the graphing menu choose, Options Titles Select First for the first title line; Select Second for the second title line; Select X-Axis for the X-Axis label; Select Y-Axis for the Y-Axis label. To name a Graph for later use In the graphing menu choose, Name Create. Enter the Graph Name To retrieve a named Graph In the graphing menu choose, Name Use. Select the Graph Name To Print a Graph Choose /Print Printer Choose /Image Select and select your graph Choose /Print. Other Concepts Absolute vs. Relative cell addressing When a formula is copied the cell addresses change unless they have been locked. A locked cell has an absolute address. Copying down rows changes row numbers. To lock rows, place a $ in front of the row number. I.E. C$4. Copying across columns changes column letters. To lock columns, place a $ in front of the column letter. I.E. $C4. Both the column and row can be locked, I.E. $C$4. When printing, be sure to adjust the print margins. Lotus measures print margins in characters, not inches. Good values for the left margin are 10-15. DO NOT ADJUST LEFT AND RIGHT MARGINS BY ADJUSTING THE PRINTER. Charles V.
